What is a transactional email? E-commerce definition
June 4, 2026
A transactional email (transactional email) is an automatic message triggered by an action or event related to the customer journey: purchase, shipping, account creation, password reset, refund. It informs or confirms an expected transaction; it is not a promotional email campaign. In e-commerce, transactional emails structure the post-purchase relationship and reduce Support workload.
Summary
Definition: transactional, marketing, automation
Transactional email meets a functional need: the customer has done something (ordered, requested a reset) and expects a confirmation or useful information.
Common types in e-commerce.
In practice, several elements are worth keeping in mind. Order confirmation refers here to the summary after payment. Shipping / tracking refers here to parcel dispatched, tracking number (order tracking). Delivery refers here to notification of parcel delivered (carrier or app). Customer account refers here to welcome, activation, password reset. Refund / return refers here to processing confirmation (refund). Invoice / receipt refers here to document or PDF link (invoice). Digital product refers here to download link or access. Payment failure refers here to card declined, action required.
Useful distinctions.
Several distinctions help avoid confusion. We must distinguish Transactional email : vs marketing campaign : transactional = triggered by a business event; campaign = scheduled promo or newsletter sending. We must distinguish Transactional : vs marketing automation : abandoned cart or welcome offer are commercial flows, not acknowledgements of receipt. We must distinguish Transactional : vs double opt-in : the latter validates newsletter consent; some account emails can be transactional. We must distinguish Shopify notification : vs Klaviyo promo email : same mailbox, different natures (info vs ad). We must distinguish Transactional email : vs Transactional SMS : same logic, different channel (OTP code, parcel tracking).
Why transactional emails matter
Transactional emails are expected by the customer. Their quality impacts trust, after-sales service, and sending reputation.
In practice, several elements are worth keeping in mind. Reassurance here means "my order is successfully recorded" after the checkout. Self-service here refers to the order status link, tracking, and customer account. Fewer tickets here refers to WISMO, "have you received my order?" (customer support). Deliverability here means a high open rate; it strengthens the domain's reputation if properly configured. Compliance here means proof of sending and order traceability. Consistent journey here means tone and design aligned with the brand (customer journey).
A missing, spam-routed, or confusing transactional email that looks like a promotion degrades the experience and generates immediate after-sales contacts. Keeping transactional and marketing emails clearly separated also protects the deliverability of promotional campaigns.
Post-purchase sequence
Typical transactional flow after a purchase.
The process can be presented simply. Step D+0 consists of order confirmation (minutes). Step D+1 to D+3 consists of shipping email + tracking when fulfillment is created. Step D+3 to D+7 consists of confirmed delivery (optional). The Post-delivery step consists of a PDF invoice if separate.
Transactional emails unrelated to orders.
In practice, several elements are worth noting. Account password reset. Confirmation of email or address change. Notification of processed refund. Alert for subscription payment failure.
Legal basis (EU): emails strictly necessary for the execution of the contract (order confirmation, delivery tracking) can be sent without separate marketing consent. Promotional content added to a transactional email remains subject to marketing rules.

The journey continues with Separating if possible the transactional sub-domain (notifications.) from marketing (news.). The journey continues with Testing each template after modification.
